An effective management review structure  is one of the key ways to stay on top of your Quality System (ISO 9001), Environment System (ISO 14001) or any other business compliance systems.  By having a clear process that all those involved know and understand can really make life easier.  We have put together our top 5 tips for effective management review meetings;

 

1)  Right People
Keep the attendees to a minimum.  Decide who needs to be there (usually the senior management team) for the entire meeting,and who might be by invitation only, perhaps for specific agenda items. Attendance, if requested, should be mandatory.

 

2)  Clear Agenda
Using the requirements of the standard as a guide (clause 9.3 of ISO 9001:2015), set out a clear agenda, identifying who is responsible for providing information to be presented and discussed.  A concise and easy to follow agenda helps keep the meeting on track and to time.

 

3)  Previous Actions
Whilst it is important to track actions already undertaken, it can be laborious to re-tread ground that has already been discussed.  Keep the notes brief and if further discussions are required note that the issue will be discussed separately and reintroduced to the agenda if necessary.

 

4)  Summary
Some people find it beneficial to have a supplement to the minutes in the form of an action log.  This gives headlines of the issue and required actions, with timescales.

 

5)  Minutes / Communicating Information
Agree a timescale for the provision of meeting notes and who should receive what.  Remember that effective communication of the decisions made at management review are an important part of this processes and can be an excellent business development tool.  However it may not always be appropriate to communicate everything.
